How to Create an Email Signature in Gmail

A professional email signature makes you look credible and helps recipients connect with you. This step-by-step guide shows you how to create a stunning email signature with SigCraft and install it in Gmail — no HTML knowledge required.

Before You Start

You need a SigCraft account (free) to save your signature, but you can also create one without logging in. Make sure you are signed into your Gmail account before following these steps.

Step 1: Create Your Signature with SigCraft

Go to the SigCraft signature builder. You have two ways to create your signature:

  • AI input — type a sentence like "I'm Sarah, UX Designer at NovaTech, [email protected], +1-555-0100" and the AI fills in all fields automatically.
  • Manual form — fill in your name, job title, company, email, phone, website, and social media links yourself.

Choose a template (Classic, Compact, or Modern), pick your brand color, and upload your avatar. The live preview updates instantly so you can see exactly how it will look.

Step 2: Copy the Signature HTML

Once your signature looks perfect, click the "Copy HTML" button in the builder. SigCraft generates email-client-proof HTML — it uses table-based layouts and inline styles so it renders correctly in Gmail, Outlook, and Apple Mail.

You will see a green "Copied!" confirmation. The HTML is now on your clipboard, ready to paste into Gmail.

Step 3: Open Gmail Settings

  1. Open Gmail in your browser.
  2. Click the gear icon (Settings) in the top-right corner.
  3. Click "See all settings" from the dropdown menu.
  4. Go to the "Signature" tab (it is the second tab, next to General).

You are now in the Gmail signature editor. This is where you will add the HTML from SigCraft.

Step 4: Paste the Signature

  1. In the Signature section, click "Create new" and give your signature a name (e.g., "SigCraft Signature").
  2. Click "Save".
  3. Click into the signature editor text area and press Ctrl+V (Windows) or Cmd+V (Mac) to paste the signature.
  4. Gmail will render the HTML signature immediately.

⚠ Important: Gmail does not show a "Paste as HTML" option in its settings. Simply paste with Ctrl+V / Cmd+V — Gmail preserves the HTML formatting automatically. If you see plain text instead of your formatted signature, make sure you copied from the "Copy HTML" button, not the preview area.

Step 5: Configure Signature Defaults

Gmail lets you choose which signature to use for new emails and replies:

  1. Below the signature editor, find the "Signature defaults" section.
  2. For "For new emails", select your SigCraft signature from the dropdown.
  3. Optionally, set it for replies/forwards too.
  4. If you have multiple email aliases, repeat this for each address.

Step 6: Save Changes

Scroll to the bottom of the settings page and click "Save Changes". Your signature is now live in Gmail.

Open a new compose window to see your signature in action. Send a test email to yourself or a colleague to verify everything looks correct.

Troubleshooting

Signature shows as plain text

You may have used the wrong paste method. Go back to SigCraft, click "Copy HTML" again, then in Gmail settings delete the signature and re-paste using Ctrl+V / Cmd+V. Do not use right-click > Paste as plain text.

Images not showing

Gmail blocks external images by default. Recipients will see a "Show images" prompt. This is normal and affects all email signatures. Your avatar and social icons will load once the recipient clicks "Show images."

Signature appears twice

You may have multiple signatures active. Go to Settings > Signature defaults and make sure only one signature is selected for new emails and replies/forwards.

Signature looks different on mobile

Gmail mobile app renders signatures differently than the web version. SigCraft signatures are designed to be responsive, but some styling differences are normal. Test on both platforms to ensure it looks acceptable.

Frequently Asked Questions

Why does my signature look different in Gmail than in the preview?

Gmail strips most CSS. That is why SigCraft generates table-based HTML with all styles inlined — it is the only format Gmail renders correctly. If your signature still looks off, make sure you copied the full signature block (Ctrl+A / Cmd+A before copying).

Can I use the same signature on Gmail mobile?

Yes. Gmail syncs signatures across desktop and mobile automatically once you set it up in Gmail web settings. The signature will render the same on both platforms.

Why are my social media icons not showing up?

Social icons are hosted on Cloudflare R2 and require an internet connection to load. If icons are missing, check that your network is not blocking external images. Gmail does block images by default — recipients will see a "Show images" prompt.

How do I add my signature to existing emails?

After setting up your signature in Gmail settings, it will appear automatically in all new emails. For existing drafts, you will need to manually insert the signature using Gmail's Insert signature option in the compose toolbar.

Does SigCraft store my email signature?
