Before You Start
Outlook on the web (Outlook.com and Microsoft 365) has a straightforward signature editor that accepts pasted HTML directly — no desktop workarounds needed. Sign in to your account before starting.
Step 1: Create Your Signature with SigCraft
Go to the SigCraft signature builder and create your signature. Choose a template, set your brand color, and add your contact details and social links.
Step 2: Copy the Signature HTML
Click "Copy HTML" in the SigCraft builder. The HTML is optimized for Outlook's rendering engine with table layouts and inline styles.
Step 3: Open Outlook Web Settings
- Go to outlook.com or your organization's Outlook Web App.
- Click the gear icon (Settings) in the top-right corner.
- Search for "signature" or navigate to Mail > Compose and reply.
- Scroll to the Email signature section.
Step 4: Paste and Configure
- Click into the signature editor and paste with Ctrl+V / Cmd+V.
- Check "Automatically include my signature on new messages that I compose".
- Optionally enable signature on replies and forwards.
Step 5: Save and Test
- Click Save at the bottom of the settings panel.
- Click New mail to compose a message and verify your signature appears.
- Send a test email to yourself to confirm images and links work correctly.
Troubleshooting
Signature appears as plain text
Ensure you used Copy HTML from SigCraft, not plain text. Delete the signature content and paste again with Ctrl+V / Cmd+V directly into the Outlook Web editor.
Signature not added to new emails
Check "Automatically include my signature on new messages" in Compose and reply settings and click Save before testing.
Layout breaks on mobile Outlook app
Outlook mobile uses a simplified renderer. SigCraft table layouts are mobile-safe, but test on the Outlook app to confirm acceptable appearance.
Changes not saving
Scroll to the bottom of the settings panel and click Save. Outlook Web does not auto-save signature changes when you navigate away.
Frequently Asked Questions
Is Outlook Web different from desktop Outlook for signatures?
Yes. Outlook Web uses a web-based editor that accepts direct HTML paste more reliably than Windows desktop Outlook. Installation is faster and requires no workarounds.
Will my signature sync to Outlook desktop?
For Microsoft 365 accounts, signatures may sync between Outlook Web and newer desktop clients. Older desktop versions may need a separate setup — use our Outlook desktop guide if needed.
Can I set different signatures for replies?
Outlook Web lets you choose whether to include your signature on replies and forwards via checkboxes in the Compose and reply settings.
Why do images show as attachments in Outlook Web?
If you insert images as files instead of using hosted URLs, Outlook may attach them. SigCraft uses hosted images on Cloudflare R2, so this should not happen with Copy HTML.
